Canad Corporation of Manitoba Ltd. ("Canad") is committed to protecting the privacy of all of our guests and maintaining the integrity of any personally identifiable information ("Personal Information") we collect, use, retain or disclose. The purpose of this Privacy Code is to comply with applicable privacy laws, including the Personal Information Protection and Electronic Documents Act ("PIPEDA"), and to inform you about how and why we collect Personal Information, to outline the steps we take to safeguard your Personal Information, and to provide you with a Canad contact number should you have questions or concerns about our privacy practices.
This Privacy Code does not apply to Personal Information collected about our employees or otherwise exempted by applicable law. The application of this Privacy Code is subject to the requirements and provisions of PIPEDA and other applicable laws, regulations or court orders.
Why does Canad collect your Personal Information?
Canad collects your Personal Information for the following identified purposes:
- to identify you;
- to reserve a room for you at a Canad hotel;
- to assist you with planning and hosting a banquet or conference at a Canad property;
- to deliver food to you from a Canad restaurant;
- to provide you with services related to accommodation, dining and/or entertainment;
- to ensure that minors do not gain entry to bars owned by Canad;
- to make birthday reservations at or allow VIP Access to Canad night clubs;
- to maintain adequate accounting and business records;
- to assess the quality and quantity of our customer service and business performance;
- to comply with legal requirements;
- to protect us both against fraud;
- to provide a secure and safe environment for you, other patrons and customers and our employees;
- to co-operate with law enforcement agencies and protect against violations of criminal or civil laws;
- to provide you with information about events sponsored by Canad or held at Canad’s properties;
- to provide you with promotional offers and invitations to special events;
- to manage proposed or actual sales or leases of all or part of our business assets;
- to better understand your interests and improve service delivery; and
- to achieve any other purpose to which you provide your consent or as required or permitted by law.
Further reference in this Privacy Code to "Identified Purposes" means the purposes set out above.
What type of Personal Information does Canad collect and how?
Canad may collect your Personal Information through the following means:
In order to avoid having to determine if someone is a "youthful-looking" person or whether or not someone has been previously asked for proof of age, Canad has implemented a policy for its beverage rooms whereby all patrons have their ID as proof of age checked at the entrance. In accordance with the Licensee Field Manual prepared by the Manitoba Liquor Control Commission (the MLCC), the only forms of ID that are acceptable are a valid Manitoba driver's license (two parts), MLCC photo-identification card, Canadian Citizenship card, Armed Forces Identification Card, valid passport, Indian Affairs Status card, valid photo driver's license issued by another province or state and valid Canadian Firearms license. In addition, the MLCC requires a beverage room to employ measures to verify ID to ensure that it is authentic and issues bulletins regarding procedures for checking ID.
It is Canad’s policy to have all its patrons produce photo ID as proof of age and for security purposes. Canad requires that all IDs be checked and placed by our security personnel in a machine (the ID Machine) that copies the relevant portion of the ID. The ID Machine only takes a snapshot of the portion of the ID containing the photograph, name and date of birth of individuals entering our beverage room. For example, a record taken of a Driver’s License from Manitoba copies only the photograph, name, date of birth, date of expiry, and on the odd occasion, a portion or all of the signature and License ID Number of the individual. However, depending on how the ID is positioned in the ID Machine, and due to the varying nature of IDs used, all or part of the information visible on the portion of the ID containing the photograph, name and date of birth may be recorded. The record is kept on a tape which stores the information for 31 days. The information is retained longer than 31 days in the event of an inquiry made on behalf of MLCC or an incident occurring inside or directly outside the beverage room on the date in question. The tapes are maintained in a locked office.
If a patron is suspected of presenting misused, altered or forged ID, a Confiscated ID Form will be completed by Canad staff, which will include details of the incident and may include that patron’s Personal Information.
Our gaming lounges are also required, under provincial and federal laws, to request proof of age to ensure that no person under the age of 18 years is allowed to enter.
Canad may also require photo ID before issuing a loyalty card, such as the Canad Inns Loyalty Card, or permitting a customer to redeem points on such cards. This requirement helps to protect customers who may lose or misplace their cards from having someone else redeem their points.
- photographs taken by Canad solely of draw or jackpot winners and spouses/significant others (who consent in writing to their picture being taken);
- photographs taken by Canad inside our premises for publicity purposes and advertising campaigns (who consent in writing to their picture being taken); and
- in limited situations, entertainers will have their performances videotaped and/or photographed. When this is happening, we will notify you through signage and/or an announcement at the beginning of the performance.
- Customer Tracking and Hotel Reservations: Canad currently maintains “hotel histories” for guests that stay at their hotels. The processing of hotel reservations is performed by The November Group and is governed by their privacy policy, which may be viewed online at http://www.novgroup.com/privacy.php.
- Loyalty Points Programs: Canad has and may in the future establish various loyalty and reward programs. If you choose to join such a program, including the current Canad Inns Loyalty Points Program, we may collect certain Personal Information about you including your name, address, telephone number, e-mail address, interests, number of visits to Canad properties, etc.
- Questionnaires: If you visit a licensed portion of one of Canad’s properties you may be asked to fill out a questionnaire regarding the licensed premises you visit on a regular basis. Participation in such questionnaires is voluntary. If you choose to participate in such a survey, Canad may request Personal Information from you, including your name, address, telephone number, e-mail address, age and gender.
- Prize Draws: At various times, Canad may offer promotions through draw programs. If you choose to participate in such a draw, we may collect certain Personal Information from you so we may contact you if you win the draw. This information will be utilized solely by Canad, but may be retained on file for communication of future programs or offerings.
- Security Incidents: Details of security incidents, such as assaults, thefts, drunkenness or disorderly conduct are recorded. If you are involved in or witness a security incident, you may be asked to provide us with your name, address, telephone number and other information related to the incident. Such information is used for risk management and law enforcement purposes. If Personal Information held by Canad is required for a police investigation, Canad requires that the police provide a search warrant or other sufficient type of document identifying the authority for the disclosure of Personal Information.
- Health and Safety: If you or a family member become ill or are involved in an accident while visiting a Canad property, we may ask you to provide us with your contact information, health history, physician’s contact information and next of kin. Other Personal Information may be documented depending on the nature of the medical incident or accident.
- Complimentary Tickets: When you accept complimentary tickets to an event at a Canad property, you may provide us with certain Personal Information including your name, address and telephone number. Canad may use this Personal Information to notify you of other events at our properties and for other Identified Purposes set forth above.
- Canad Inns Loyalty Card: If you voluntarily register on our website for the Canad Inns Loyalty Card, we may collect certain Personal Information about you, including your name, contact information, gender, age, and recreational and entertainment related interests and preferences. Such Personal Information may be used to help us learn more about our customers’ interests and preferences, for other Identified Purposes set forth above, and to provide you with website content suited to your stated interests and preferences. If you choose to receive periodic communications (e.g., about our services, events, special offers and promotions, such as the Loyalty Points Newsletter), such communications may also be tailored to your stated interests and preferences.
- Cookies: Our website may use "cookies". Cookies are small text files offered to your computer by servers in order to keep track of your browser as you navigate the website. Cookies may be stored on your hard drive, or in temporary memory (i.e., cached) in which case they are deleted when you shut down your browser or turn off your computer. We may use cookies to record session information, such as your browsing habits and past activity, to enable us to provide you with improved services such as customized website content. You can disable cookies using your Internet browser's settings. Please consult your browser's help function for information on how to disable cookies. Note that if you disable cookies, certain features of our website may not function properly.
- Links to Third Party Websites: Our website may contain links to other websites that are provided as a convenience only, and which may have different privacy policies and practices than Canad. Canad has no responsibility for such third party websites, and you are advised to review the privacy policies of any third party websites you choose to visit.
When does Canad disclose your Personal Information?
Canad does not disclose Personal Information to third parties for purposes other than those for which it was collected, except with your consent or as required or permitted by law. In situations where we disclose Personal Information in accordance with this Privacy Code to third parties, we do not disclose more information than is required and, where it is reasonable and practical to do so, enter privacy agreements with third parties with whom we disclose Personal Information.
How does Canad safeguard your Personal Information?
Canad uses various means to help safeguard your Personal Information. Only authorized employees and agents have access to Personal Information. Canad employees who have access to Personal Information receive training regarding privacy protection. All computers on which Personal Information is stored are password protected. Canad uses data encryption to increase the security of the Personal Information you provide to us via our web site.
Your Consent/Verifying and Amending Personal Information
You may withdraw your consent for Canad to manage your Personal Information in a particular way, subject to legal or contractual restrictions and reasonable notice. However, this may limit our ability to provide you with certain services and/or products. You may contact Canad for more information regarding the implications of withdrawing consent. For example, if you do not want Canad to send you mail or telephone you about events, and promotional offers, please contact Canad.
You can also access and review your Personal Information held by Canad and make appropriate changes to it by contacting Canad. You may be required to put your request in writing and show us identification. Updating This Privacy Code
Any changes to this Privacy Code or our information handling practices will be recorded in a timely manner on our website. We may add, modify or remove portions of this Privacy Code when we determine it is appropriate to do so. However, we will not use any Personal Information collected prior to such changes for any new purposes without first obtaining your consent.
